What we collect when you buy from us, why, who sees it, and how long we keep it. Last updated 24 September 2026.

Who we are

Cold Aisle is a trading name of PYCO RENEW LTD, company number 16774881, registered office Unit D13, Fieldhouse Industrial Estate, Fieldhouse Rd, Rochdale OL12 0AA. We are the controller of the personal data described here, and are registered with the Information Commissioner's Office under number ZC018901.

What we collect

Orders and quote requests: your name, company, work email, phone, delivery address, VAT and purchase order numbers, delivery notes, and what you asked for.
Trade account applications: the company, contact and credit details you give us, and the result of any credit check.
Selling hardware to us: your contact details and the equipment you describe.
Emails and calls: whatever you tell us.
Technical: the IP address a form was sent from, kept with the submission to stop spam and fraud, and the standard access logs our web host keeps.

Cookies and your basket

We do not use analytics, advertising or tracking cookies. Your basket is kept in your own browser's storage so it survives a refresh. It never leaves your device until you place an order, and you can clear it at any time from the basket page or your browser settings.

Why we use it, and our lawful basis

To quote, supply and invoice: taking steps at your request before a contract, and performing it.
To keep accounting and tax records: a legal obligation.
To assess credit, prevent fraud and run your account: our legitimate interest in running a trade business safely.

Who we share it with

Couriers, so they can deliver and book goods-in slots.
Our website, email and IT providers, who store data for us under contract.
Stripe, our card payment provider, when you pay by card. Stripe processes the payment under its own privacy notice at stripe.com/privacy.
Credit reference agencies and credit insurers, for trade account applications.
Our accountants, auditors and legal advisers.
Law enforcement or regulators, where the law requires it.

If any of these process data outside the UK, we make sure a lawful transfer mechanism, such as UK adequacy regulations or the International Data Transfer Agreement, is in place.

How long we keep it

Orders, invoices and account records: six years after the end of the financial year they relate to, as HMRC requires.
Quote requests and enquiries that do not lead to an order: two years.
Declined trade account applications: one year.

Your rights

You can ask for a copy of the personal data we hold about you, ask us to correct it, to delete it where we are not required to keep it, to restrict or object to how we use it, or to move it to another provider. Email the address above and we will reply within one month.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put it right first.

Security

The site runs over HTTPS. Form submissions are stored outside the public web folder with access restricted to us. Card details are entered on Stripe's payment page, never on or stored by this site.
